The role:

We currently have a Traineeship for a Clinical Administration Trainee to join the organisation to be a key member of CareFlight’s Human Resources team in Darwin.

Reporting to the Senior Human Resources Manager you will develop clinical administration skills utilising a combination of study-based learning and on-the-job training, as well as clinical administration support to key departments at CareFlight’s Northern Operations.

Responsibilities include:

  • Carry out administration duties for the clinical team, including filing, typing, data entry and ordering as required.
  • Assist with general administration duties for CareFlight, including welcoming and acknowledging staff and visitors, answering and directing phone calls and ensuring visitors complete the sign-in/out book.
  • Assist with scanning and filing of medical records whilst ensuring the highest standard of confidentiality and secure handling of information.
  • Delivery of mail and packages to Northern Operations departments.
  • Organise and set-up rooms for meetings eg. opening doors, arranging tables, water and glasses.
  • Preparation of emails, letters, reports and correspondence as required.
  • Assist with booking clinical meetings, minute taking and preparation of meeting papers.
  • Organising travel and preparing travel itineraries for the clinical team.
  • Assist with information coordination (research) and preparing presentations.
  • Assist with maintaining supplies to crew room/kitchen facilities, including consumables shopping and maintenance of crew room requirements.
  • Manage and maintain D4H asset management system for all NT medical equipment in conjunction with the Nursing Director
  • Provide assistance to the NT clinical team with day to day administrative management of unserviceable medical equipment.
  • Provide administrative support as required to NT Medical and Nursing Directors.
  • Assist with leave coverage for administration positions as required.

To be successful in this role you will have the following:

Essential

  • Identify as Aboriginal or Torres Strait Islander.
  • A sound knowledge of Indigenous culture, society and kinship networks.
  • The ability to effectively communicate both verbally and written, with all levels of staff, customers, suppliers and visitors in an attentive, courteous and service orientated manner.
  • Intermediate computer skills.
  • A willingness to be trained in all areas of administration within Northern Operations.
  • A willingness to be trained in general office duties eg. photocopying, mail collection, answering calls, meetings and education and training.
  • A proactive approach to the work and teaching environments for successful completion of Certificate III in Business.
  • Hold a current Driver’s Licence.

Desirable

  • Completion of Year 12.
  • Experience with Microsoft Office (Word, Excel, PowerPoint and Outlook).
