We are a dynamic indie publishing house seeking an organized and efficient Operations Assistant to support our daily business operations. This role is ideal for someone who is detail-oriented, adept at multitasking, and has a passion for the publishing industry. As an Operations Assistant, you will play a vital role in ensuring our publishing operations run smoothly, offering administrative and operational support to various departments within our organization.
Key Responsibilities:
Administrative Support:
Perform routine administrative tasks including managing correspondence, organizing files, and answering phone calls.
Assist with the preparation of reports, presentations, and documents related to publishing projects.
Data Management and Record Keeping:
Maintain accurate and up-to-date records, including manuscripts, contracts, and author information.
Handle the filing and archiving of important publishing documents.
Logistics Coordination:
Coordinate logistics for book launches, author events, and literary fairs.
Manage inventory of books and publishing materials, overseeing stock levels and placing orders as needed.
Scheduling and Calendar Management:
Assist with scheduling meetings and managing calendars for editorial and publishing teams.
Organize and prepare meeting rooms, including setting up necessary equipment and materials.
Publication Process Assistance:
Provide support throughout the publication process, including coordination with authors, editors, and designers.
Assist in tracking the progress of manuscripts through the editorial and production stages.
Vendor and Client Relations:
Liaise with external vendors, such as printers and distributors, to ensure timely delivery of services.
Act as a point of contact for authors and clients, providing information and assistance as needed.
Qualifications:
- Bachelor's degree, preferably in publishing, literature, communications, or a related field.
- Experience in an administrative or operations role; experience in publishing or a related industry is a plus.
- Strong organizational skills with the ability to juggle multiple tasks and prioritize effectively.
- Proficient in Microsoft Office Suite and familiar with database management.
- Excellent communication skills, both written and verbal.
- A keen eye for detail and a commitment to maintaining high-quality standards.
- Ability to work collaboratively in a team environment.
